Learning App Privacy Policy
This Privacy Policy explains how Transcend AI Academy collects, uses, stores, shares, and protects personal information in the learning app for parents, students, tutors, staff, and support users.
1. Scope
This Privacy Policy applies to the Transcend AI Academy learning app and related parent, student, tutor, admin, payment, messaging, portfolio, certificate, and support experiences. It supplements any broader privacy policy that applies to the public Transcend AI Academy website or other programs.
The learning app is built for children and teens, with parent-controlled accounts and parent visibility into child learning activity. We aim to collect only the information needed to provide safe, useful, and accountable educational services.
2. Information We Collect
We collect information that parents, students, tutors, and staff provide directly, information created through use of the app, and technical information needed to run the service.
- Parent and guardian information, such as name, email address, phone number, timezone, country, account credentials, marketing consent, support communications, payment context, and signup consent records.
- Student information, such as name, preferred name, date of birth or age group, timezone, country, parent relationship, enrollment, course access, attendance, lesson progress, assignments, submissions, feedback, certificates, and portfolio settings.
- Learning content, such as text responses, files, project titles, descriptions, reflections, tools used, skills shown, cover image links, portfolio artifacts, messages, and tutor feedback.
- Payment and enrollment records, such as program selections, checkout status, installment status, payment provider, transaction references, refund requests, seat assignments, and manual payment review notes.
- Technical and security information, such as IP address, user agent, authentication/session cookies, device/browser information, request logs, audit logs, and app activity needed for security, troubleshooting, and operations.
3. Children’s Privacy and Parent Consent
Transcend AI Academy provides education for children and teens. Parents or legal guardians create and manage family accounts and must approve a child’s participation and app access. For children under 13 in the United States and children requiring guardian consent under Canadian privacy expectations, we rely on parent or guardian consent before collecting personal information directly from the child through student access.
- Parents can review child activity, course access, assignments, submissions, feedback, recordings, messages, portfolio settings, and certificates connected to their account.
- Parents may contact us to request access to, correction of, deletion of, or limits on further collection or use of a child’s personal information, subject to legal, safety, payment, audit, and operational retention requirements.
- We do not knowingly sell children’s personal information or use children’s personal information for third-party targeted advertising.
- We do not require children to provide more information than is reasonably needed to participate in the learning app.
Parent rights
Parents can contact hello@transcendaiacademy.com to request review, correction, deletion, or further-use restrictions for child data associated with their family account.
4. How We Use Information
We use personal information to operate the learning app and provide educational services.
- Create and secure parent, student, tutor, staff, and admin accounts.
- Manage enrollments, course access, live classes, self-paced courses, recordings, assignments, attendance, submissions, certificates, and portfolios.
- Communicate about account activity, classes, recordings, assignments, support, payments, refunds, and app updates.
- Process payments, review Interac/manual payments, administer payment plans, prevent payment abuse, and maintain transaction records.
- Support supervised messaging between parents, students, tutors, and the Transcend team.
- Improve curriculum, support workflows, app reliability, accessibility, security, and user experience.
- Maintain audit logs, investigate errors, enforce policies, protect student safety, and comply with legal obligations.
5. Consent Records and Marketing Choices
At signup and in related account flows, the app may record consent timestamps for the Terms of Service, Privacy Policy, marketing preferences, IP address, user agent, and related metadata. These records help us show when required notices were accepted and support compliance, security, and dispute resolution.
Marketing consent is optional. Parents may receive important service messages even if they opt out of marketing, because those messages are needed for account, class, payment, safety, or support reasons.
6. Third-Party Services and Disclosures
We share information only as needed to operate, protect, and improve the learning app, comply with law, process payments, support families, and provide educational services. Service providers are expected to handle information securely and use it for the services they provide to Transcend.
- Supabase for authentication, database, storage, session handling, and related app infrastructure.
- Stripe for card checkout, payment processing, payment status, and fraud or transaction support.
- Resend or similar email providers for service and notification emails.
- Google services, including Google OAuth, fonts, and meeting links where used for login, display, or classes.
- Video and recording providers such as YouTube, Vimeo, Loom, Bunny Stream, or external recording links when tutors or staff provide course recordings.
- FluentCRM or related CRM systems where contact syncing is used for operational communications, enrollment follow-up, or marketing choices.
- Hosting, security, analytics, debugging, support, and professional service providers where reasonably needed to run the app.
We may disclose information if required by law, to protect students or users, to enforce our policies, to respond to legal process, or as part of a business transition such as a merger, acquisition, reorganization, or asset transfer, subject to appropriate safeguards.
7. Cookies, Sessions, and Similar Technologies
The learning app uses cookies and similar technologies for authentication, session management, account security, remembering login state, operating Supabase auth, payment checkout, and maintaining app functionality. These technologies help keep the app secure and personalized to the correct parent, student, tutor, or staff role.
We do not use children’s app activity for third-party targeted advertising. If we add optional analytics or similar tools in the future, we will evaluate them against our privacy commitments and applicable child privacy requirements.
8. Student Portfolios and Public Sharing
Student portfolios are private by default. A parent or guardian must approve portfolio visibility before student portfolio content is made unlisted or public. Portfolio content may include project titles, descriptions, reflections, tools, skills, images, links, and artifacts. Public or unlisted portfolio pages should not include private personal information or content the student does not have permission to share.
Parents may ask us to help hide, update, or remove portfolio content. Some related internal records may remain if needed for security, audit, payment, legal, or support reasons.
9. Data Retention
We keep personal information only as long as reasonably needed for the purpose it was collected, including education delivery, account management, child safety, parent access, payment records, tax/accounting records, legal compliance, audit logs, dispute resolution, fraud prevention, and service improvement.
When information is no longer needed, we delete, de-identify, or restrict it using reasonable measures. Some records, such as payment, consent, audit, support, and certificate records, may need to be kept longer than active course content.
10. Security
We use reasonable administrative, technical, and organizational safeguards to protect personal information. These include role-based access controls, account authentication, restricted storage policies, security headers, audit logs, and service-provider controls where appropriate. No online service can guarantee absolute security, so parents and staff should protect login credentials and contact us promptly if they suspect unauthorized access.
11. Cross-Border Processing
Transcend AI Academy operates from Canada and may use service providers or infrastructure in Canada, the United States, and other locations. Personal information may be processed or stored outside your province, state, or country and may be subject to the laws of those locations. We use this cross-border processing to provide the learning app, payments, email, hosting, storage, support, security, and related operations.
12. Your Choices and Requests
Parents may request access, correction, deletion, export, or limits on use of personal information associated with their family account. We may need to verify identity and account authority before completing a request. Some requests may be limited where retention is required for legal, payment, safety, security, tax, accounting, audit, certificate, or dispute-resolution reasons.
Parents can also update account details in the app where available, manage marketing preferences, and contact Transcend for help with child access, portfolio visibility, payment records, or support communications.
13. Changes to This Privacy Policy
We may update this Privacy Policy as the learning app, legal requirements, or service providers change. If changes are material, we will take reasonable steps to notify parents or request updated consent where appropriate. The “Last updated” date shows when this version was last changed.
